RSVP, meal choices and seating: a host’s practical checklist | DreamyCard

Collect useful RSVP replies for weddings, christenings and parties: adults, children, dinner invitations, meal choices and table assignments.

An invitation count is not the same as a guest count. Organise the reply flow around the people attending, the meal information you need and the details each invited party is allowed to see.

Count people, not links

Decide how many adults, children and companions each invitation allows. A family invitation may represent several seats. Set sensible allowances before sharing the link, then review the reply totals in the host guest tools.

A pending invitation is not a confirmed attendee. Keep confirmed, declined and unanswered parties separate when preparing a final count.

Ask the meal question you actually need

Choose whether your event serves vegetarian, non-vegetarian or both options. Use the guest flow to collect the appropriate choice, and reconcile your final numbers with the caterer. Do not treat a broad meal choice as a complete allergy or medical declaration.

For weddings where dinner is limited to selected guests, mark the relevant guests as invited to dinner. The ceremony headcount and the dinner headcount may differ; confirm the correct figures before giving numbers to the venue.

Keep personal dinner and table details scoped correctly

Use the appropriate personal guest link when details are restricted. A generic public invitation should not be used to communicate private dinner access. Preview the same type of link you will actually send.

Assign tables when you are ready. If you enable personal table information, check what the guest sees. If you choose to publish a seating image or a public arrangement, review it for personal information first.

  • Confirm which parties are invited to dinner.
  • Check table capacity against attending people, including children.
  • Review public seating visibility before sharing.

Make the deadline useful and the wording kind

Choose a reply date that leaves you time to confirm catering and seating. Put essential instructions in the invitation instead of sending several contradictory versions through different chat groups.

For a christening, birthday or baby shower, explain whether adults should stay with children if that matters. Keep the wording practical and welcoming; optional details should not overwhelm the RSVP action.

Recheck after the last edits

Changing a venue or schedule should be followed by a full preview in each enabled language. Check the saved card again, not just the editor. Tell affected guests about material changes yourself; do not assume that editing a card sends invitations or SMS messages.

Before the event, open the actual guest link, test directions and review the guest list. If a guest needs help, ask them to contact the host without sending private tokens or personal details into a public chat.
